Job Description

Staffing Now is seeking a proactive and detail-oriented Office Manager to oversee the daily operations of our offices and ensure a productive, efficient, and welcoming environment for our clients team. This role is central to the smooth functioning of the firm, supporting both day-to-day operations and long-term growth. The ideal candidate thrives in a fast-paced, creative environment, can balance multiple priorities, and communicates effectively with colleagues, leadership, and external partners.

Key Responsibilities

  • Oversee facilities operations across all office locations, including space planning, maintenance, security, furniture, and vendor contracts.
  • Manage equipment budgets, maintenance, and service contracts (printers, phones, appliances, etc.).
  • Monitor and order office, kitchen, and printer supplies while managing related budgets.
  • Serve as the point of contact for office communications, including closures, inclement weather updates, and equipment notices.
  • Support employee onboarding and offboarding processes related to office management.
  • Assist with planning and execution of events and firmwide meetings, including equipment and logistics.
  • Provide administrative support, including license renewals, continuing education tracking, calendar management, and office directory updates.
  • Maintain desk scheduling systems and manage office resources.

Qualifications

  • Bachelor's Degree Required
  • Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams), Zoom, Adobe Pro, and Skedda.
  • Strong communication and collaboration skills with both internal staff and external vendors.
  • Excellent problem-solving and critical thinking abilities.
  • Highly detail-oriented with strong organizational skills.
  • Ability to work independently, shift priorities quickly, and stay self-motivated.
  • Demonstrated integrity, accountability, and a positive influence on workplace culture.
