Job Description

We’re partnering with a long-standing manufacturing company in south Kansas City to hire a hands-on Office Manager to oversee administrative operations, bookkeeping, and general office coordination. The ideal candidate for this direct hire opportunity is someone who brings strong accounting and organizational skills and isn’t afraid to jump in and help wherever needed—from managing paperwork and preparing payroll to fielding vendor requests and keeping the office stocked and tidy.

This is a close-knit, loyal team with minimal turnover, looking for someone dependable, proactive, and ready to wear many hats!

Responsibilities:

  • Manage daily operations of the office and serve as a resource for internal staff and leadership
  • Print, process, and organize all invoices, payments, and related bookkeeping documents
  • Monitor and respond to email requests, including processing COIs and customer payments
  • Prepare monthly financials and coordinate with the outside accountant for payroll and bookkeeping
  • Maintain office inventory and manage vendor relationships
  • Cover phone lines as needed and assist with walk-in customer requests
  • Additional duties may include office organization, facilities issues, clerical errands, and administrative projects

Requirements:

  • Solid foundation in accounting principles, including invoice processing and general ledger entries
  • Proficiency in QuickBooks and Microsoft Office, especially Excel and Outlook
  • Strong organizational and multitasking skills to manage competing priorities and frequent interruptions
  • High level of accuracy and attention to detail when working with numbers, payments, and financial reports
  • Excellent written and verbal communication skills, with a customer-service mindset
  • Comfortable working independently and taking initiative to solve problems or improve processes
  • Ability to maintain confidentiality and professionalism in a fast-paced, tight-knit office setting
  • Positive, adaptable attitude with a willingness to pitch in wherever help is needed
