Job Description

As the Onboarding Specialist, you’ll be the welcoming face and primary point of contact for all new clients joining our firm. You’ll guide them through every step of onboarding ensuring a smooth, professional experience. You’ll also collaborate with our internal tax and accounting teams to create a seamless client handoff and contribute to firm-wide operational excellence. 

What you will be doing:

Client Onboarding

• Conducting welcome calls to walk clients through their onboarding journey
• Scheduling and attending appointments
• Gathering and tracking required documents such as prior returns, financials, IDs, and signed engagement letters
• Setting up clients in firm systems (CRMs, portals, billing)
• Educating clients and guiding communication preferences
• Coordinating with internal teams for service kick-off (accounting, tax prep, consulting, etc.)
• Preparing draft pricing for approval
• Preparing and renewing engagement letters in Ignition

Process & Workflow

• Maintaining and continuously improving onboarding checklists and SOPs
• Tracking onboarding status using project management tools
• Ensuring timely completion of all client onboarding steps and documentation

Client Experience

• Serving as the go-to resource for client questions during onboarding
• Collecting post-onboarding feedback and providing suggestions for improvement
• Delivering a white-glove experience that sets the tone for a long-term relationship

What qualifications we are looking for:

• 2+ years of experience in client-facing or onboarding roles (CPA firm preferred)
• 2+ years of experience in an administrative assistant or support role as an Accounting/Tax professional
• Excellent written and verbal communication skills
• Strong organizational skills, detail-oriented, and process-driven
• Ability to multitask and manage multiple client onboarding tracks simultaneously
• Familiarity with tools like Karbon, Keepers, Ignition, Microsoft Suite, and QuickBooks Online a plus
• Positive, client-first attitude and a passion for helping people
