The Administrative Assistant will provide essential administrative and inventory control support to the Reliability and Storeroom departments. This position works directly with the Technical Spare Parts Manager and is responsible for data entry, inventory coordination, and departmental support. Although not a supervisory role, the position also includes supporting oversight of a specialized crew of individuals with unique abilities. Additional responsibilities may be assigned as business needs evolve.
Responsibilities:
Support the Technical Spare Parts Manager in inventory control and spare parts tracking.
Perform administrative tasks for multiple departments, including documentation, scheduling, and reporting.
Maintain accurate and current records within SAP and other networked systems.
Communicate professionally with suppliers and internal stakeholders.
Ensure organization and classification of mechanical and electrical spare parts.
Create and manage reports, spreadsheets, and presentations using Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Prioritize and manage multiple administrative tasks with minimal supervision.
Provide support and light oversight for the Box Lid Crew two days per week-assisting a small team of individuals from LICO, program for people with special needs who are able to work. This includes offering guidance, encouragement, and fostering a respectful and inclusive work environment.
Uphold professionalism in all internal and external interactions.
Qualifications:
Education: High School Diploma or equivalent required. Further education or training in administrative roles is a plus.
Experience: Administrative support experience required, preferably in technical, inventory, or manufacturing environments.
Technical Skills:
Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience using SAP
Familiarity with mechanical and electrical parts strongly preferred.
Comfortable using the internet and networked databases.
Soft Skills:
Ability to manage time effectively and work with minimal supervision.
Strong organizational skills with the ability to handle multiple priorities.
Effective communication skills, both verbal and written.
A patient, respectful, and supportive approach when working with individuals of varying abilities.
